When you use the services of Recreatiepark Wiringherlant and Hotel West Inn and our houses and glamping in Italy , it is necessary that we register a number of personal data from you. It is our policy to handle your personal data with the utmost care and transparency. Through this privacy statement we would like to inform you for what purposes and how we process your personal data.  This privacy statement applies to all personal data we process when you make a booking with us, use our services, visit our website or when we have contact with you. 

This privacy notice was last amended on May 23, 2018 and supersedes all previous versions of this privacy notice. 

Who we are.

Recreatiepark Wiringherlant means the private company with limited liability and is located at Noordstroeërweg 1-5 1777NG in Hippolytushoef. Recreatiepark Wiringherlant also includes; Hotel West Inn, In Ons Huys, Huys aan de Amstel, Inn Hotel, Hotel West Inn aan Zee.

What data do we collect from you and why?

Your personal data is mainly processed by us to process you booking.

Making a booking.

When you make a booking for one of the accommodations offered by us, by default we register the data of you that are necessary to make the accommodation available to you. We offer the accommodations for rent ourselves, but they are also offered by our partners. In case you make a booking through one of our partners, this privacy statement is equally applicable. 

Booking data

Booking details are information about the vacation you have booked with us, for example the type of accommodation, arrival date, departure date, travel party and preferences. In order to complete your booking, we register these details in our reservation system. 

We need your name and address details in order to register your booking in our reservation system and for registration in the compulsory night registry, but also, for example, to be able to comply with the obligation to submit a tourist tax return. If we are unable to send you certain information by e-mail, we will send it by post to the address you have provided.

You will receive confirmation of your booking at the e-mail address you provided, as well as interesting information about the park of your stay and its surroundings. Should we have any questions shortly before your stay, we will call you. 

Bookings can only be made by persons over 21 years of age. By providing your date of birth, we can verify that you are authorized to make a booking. 

Payment for your booking can be made via our secure payment environment or by bank transfer. 

A security deposit will be charged for most accommodations. We register your bank account number for the sole purpose of refunding the deposit. We will and can never debit any amount from your account. 

If you wish to pay by credit card, your information will be forwarded to the financial institution that processes the payment. We never have access to your credit card information, but we can see that you have paid by credit card.

Our reception is happy to help you in case you have a question about your booking or your stay. We offer several contact options for this purpose. 

If you contact us using the contact form on the website, your salutation, name and contact details will be recorded. The same applies in case you send an e-mail message to us. Recording the data is necessary to communicate with you. Moreover, it enables us to answer your question quickly and efficiently and to look for your data.

When you contact reception, a number of control questions may be asked of you, to ensure that your data does not end up with someone else. 

When you use our website, we automatically store certain information. This may include information from which URL you came, which URL you go to, which browser you use, your IP address, and the date and time you accessed our website. We also collect information about the hardware, software and Internet browser you use. We use this information as part of the normal use and management of our website and may disclose this information in aggregate. This grouping makes it impossible to trace the data back to a particular user. We are not interested in data that says anything about the identity of the visitor to our site. Recreatiepark Wiringherlant is, however, interested in information that says something about the use of the site, such as: how many visitors do we get? What are the busy hours and which pages are visited the most?

Sometimes we receive data not directly from you, but from another party. For example, when you make a booking for one of our properties through a partner of ours, that partner sends certain information about you to us. This enables us to register and process your booking. Questions or changes relating to your booking or stay may also be forwarded to us by our partners. If reasonably possible, we will notify you of the receipt of your data.

Any information we receive from third parties may be combined with information provided by you. 

When processing your personal data, we adhere to the rules from the General Data Protection Regulation. Therefore, there is always a basis for processing your personal data. Your data are mainly processed when making a booking. We need these data for the execution of the agreement between you and Recreatiepark Wiringherlant. If you do not provide us with the required personal data, you cannot use our services. 

Processing some of your data is also necessary to comply with a legal obligation. For example, we are legally obliged to register some of your data in the night register.

Should we want to know more information about you, we will always ask your permission.

To which parties do we provide your personal data?

We are obliged to register your name, place of residence, date of arrival and departure in the night register. The municipality may ask us to supply the data from the night register. In connection with the mandatory tourist tax return, we also provide the municipality with your postal code, place of residence, date of birth, family composition, date of arrival and date of departure each year.

To manage our systems and provide our services, we use the services of third parties, such as IT suppliers. We ensure that these third parties handle your data correctly, if and insofar as they have access to it. 

In the unlikely event that you do not pay your invoices on time, we are forced to hand over the claim to a collection agency or a bailiff. The data necessary to collect the claim from you will be passed on to the collection agency or bailiff.

How long do we keep your data?

We will retain your data for no longer than is necessary to achieve the purposes set out in this privacy statement, unless we are required to retain the data for longer under a legal obligation. 

Our goal is to build a lasting relationship with you. Your data will be anonymized at the time this relationship ends.

Contact moments with our reception are deleted within one year after the contact moment, unless the content of the messages may be relevant to your booking or any future bookings. Phone calls are never recorded.

How will your personal data be secured?

Recreatiepark Wiringherlant has taken technical and organizational security measures to protect your data against loss or unauthorized use, such as unauthorized access to data. These take into account the state of the art and cost of implementation so that we guarantee an appropriate level of security given the risks involved in processing and the nature of data to be protected. Our policy is to ensure that only those employees have access to your personal data who actually need the access to perform their duties.

What are your rights?

Right to access, rectification, restriction, deletion

If your personal data is processed by Recreatiepark Wiringherlant, you have the right to receive a copy of the data collected about you. You also have the right to receive your data in a structured, commonly used and machine-readable format. You may send a request to this effect to the e-mail address: info@recreatiewiringherlant.nl. You can also send your request in writing to Recreatiepark Wiringherlant Noordstroeërweg 1-5 1777NG in Hippolytushoef. Recreatiepark Wiringherlant will respond to your request within one month.

If the copy shows that your data is incorrect or incomplete or, in your opinion, given the purpose of the registration, does not belong in the database of Recreatiepark Wiringherlant, you can ask Recreatiepark Wiringherlant to modify, remove or limit the data. You also have the right to object to the processing of your data. Also for such requests you can use the above (e-mail) address or postal address.

If you ask us to adjust or remove data that are necessary for the execution of the agreement, this may result in you no longer being able to use our services. 

Right to withdraw consent

Where you have consented to the processing of your personal data, you have the right to withdraw your consent at any time. We will then not further process your data processed on the basis of your consent. 

Complaints

You also have the right to file your complaint with the national supervisory authority, the Authority for Personal Data.
