When you use the services of Recreatiepark Wiringherlant and Hotel West Inn, as well as our houses and glamping in Italy, it is necessary for us to register certain personal data from you. It is our policy to handle your personal data with the utmost care and transparency. Through this privacy statement, we wish to inform you of the purposes and manner in which we process your personal data. This privacy statement applies to all personal data that we process when you make a booking with us, use our services, visit our website, or when we have contact with you.
This privacy statement was last modified on 23 May 2018 and replaces all previous versions of this privacy statement.
Who are we?
Recreatiepark Wiringherlant refers to the private limited liability company established at Noordstroeërweg 1-5, 1777NG, in Hippolytushoef. Also belonging to Recreatiepark Wiringherlant are: Hotel West Inn, In Ons Huys, Huys aan de Amstel, Inn Hotel, and Hotel West Inn aan Zee.
What data do we collect from you and why?
Your personal data is primarily processed by us to process your reservation.
Making a booking.
When you make a booking for one of the accommodations offered by us, we automatically register the data from you that is necessary to make the accommodation available to you. We offer the accommodations for rent ourselves, but they are also offered by our partners. In the event that you make a booking through one of our partners, this privacy statement applies equally.
Booking details
Booking details are information about the holiday you have booked with us, such as the type of accommodation, arrival date, departure date, travel party, and preferences. To process your booking, we register this information in our reservation system.
We require your name and address details to register your booking in our reservation system and for registration in the mandatory guest register, but also, for example, to comply with the obligation to file a tourist tax return. If we are unable to send certain items to you by email, we will send them by post to the address you provided.
You will receive confirmation of your booking at the email address you provided, along with interesting information about the park where you will be staying and the surrounding area. Should we have any questions shortly before your stay, we will call you.
Bookings can only be made by persons over the age of 21. By providing your date of birth, we can verify whether you are authorized to make a booking.
You can pay for your booking via our secure payment environment or by bank transfer.
For most accommodations, a security deposit will be charged. We register your bank account number solely for the purpose of refunding the deposit. We will never and cannot debit any amount from your account.
If you wish to pay by credit card, your details will be forwarded to the financial institution processing the payment. We never have access to your credit card details, but we can see that you have paid by credit card. At the reception, you may be asked a number of verification questions to ensure that your details do not end up with anyone else.
Our reception staff will be happy to assist you should you have any questions regarding your booking or stay. We offer various contact options for this purpose.
If you contact us via the contact form on the website, your salutation, name, and contact details are recorded. The same applies if you send us an email. Recording this data is necessary to communicate with you. Furthermore, this enables us to answer your question quickly and efficiently and to retrieve your information.
When you contact the reception, you may be asked a number of verification questions to ensure that your details do not fall into the hands of anyone else.
When you use our website, we automatically store certain information. This may include information about the URL you came from, the URL you are going to, the browser you use, your IP address, and the date and time you accessed our website. We also collect data about the hardware, software, and internet browser you use. We use this information in the context of the normal use and management of our website and may disclose this information in aggregated form. This aggregation makes it impossible to trace the data back to a specific user. We are not interested in data that reveals anything about the identity of the visitor to our site. Recreatiepark Wiringherlant is, however, interested in information that reveals something about the use of the site, such as: how many visitors do we receive? What are the busiest hours and which pages are visited the most?
Sometimes we do not receive data directly from you, but from another party. For example, when you make a booking for one of our accommodations through one of our partners, this partner forwards certain data about you to us. This allows us to register and process your booking. Questions or changes regarding your booking or stay may also be passed on to us by our partners. Where reasonably possible, we will notify you of the receipt of your data.
All information we receive from third parties may be combined with information provided by you.
When processing your personal data, we comply with the rules of the General Data Protection Regulation. Therefore, there is always a legal basis for processing your personal data. Your data is primarily processed when making a booking. We require this data to fulfill the agreement between you and Recreatiepark Wiringherlant. If you do not provide us with the required personal data, you will not be able to use our services.
Processing of some of your data is also necessary to comply with a legal obligation. For example, we are legally required to register some of your data in the night register.
Should we require further information from you, we will always ask for your permission.
To which parties do we disclose your personal data?
We are required to register your name, place of residence, and arrival and departure dates in the night register. The municipality may request us to provide the data from the night register. In connection with the mandatory tourist tax declaration, we also provide the municipality with your postal code, place of residence, date of birth, family composition, arrival date, and departure date every year.
For the management of our systems and the provision of our services, we use the services of third parties, such as IT suppliers. We ensure that these third parties handle your data properly, if and to the extent that they have access to it.
In the unlikely event that you fail to pay your invoices on time, we will be obliged to hand over the claim to a collection agency or a bailiff. The information necessary to collect the debt from you will be passed on to the collection agency or the bailiff.
How long do we retain your data?
We do not retain your data longer than necessary to achieve the objectives set out in this privacy statement, unless we are required to retain the data longer based on a legal obligation.
It is our goal to build a lasting relationship with you. Your data will be anonymized once this relationship has ended.
Contact moments with our reception are deleted within one year of the contact moment, unless the content of the messages may be relevant to your booking or any future bookings. Telephone calls are never recorded.
How is your personal data secured?
Recreation Park Wiringherlant has implemented technical and organizational security measures to protect your data against loss or unlawful use, such as unauthorized access to data. In doing so, account has been taken of the state of the art and the costs of implementation to ensure an appropriate level of security, given the risks involved in the processing and the nature of the data to be protected. Our policy is aimed at ensuring that only those employees who actually require access to your personal data for the performance of their duties have access to it.
What are your rights?
Right of access, rectification, restriction, removal
If your personal data is processed by Recreatiepark Wiringherlant, you have the right to receive a copy of the data collected about you. You also have the right to receive your data in a structured, commonly used, and machine-readable format. You can send a request to this effect to the email address: [email protected]. You can also send your request in writing to Recreatiepark Wiringherlant, Noordstroeërweg 1-5, 1777NG Hippolytushoef. Recreatiepark Wiringherlant will respond to your request within one month.
If the statement shows that your data is incorrect or incomplete, or in your opinion, given the purpose of the registration, does not belong in the Recreatiepark Wiringherlant database, you may ask Recreatiepark Wiringherlant to correct, delete, or restrict the data. You also have the right to object to the processing of your data. You may use the aforementioned (e-mail) address or postal address for such requests as well.
If you ask us to modify or delete data necessary for the performance of the agreement, this may result in you no longer being able to use our services.
Right to withdraw consent
If you have given consent for the processing of your personal data, you have the right to withdraw your consent at any time. We will then no longer process your data that is being processed based on your consent.
